The Programs module

Program, camp and coaching registration

A coaching term fills in the fortnight before it starts, and every one of those sign-ups is a parent on a phone at twenty to ten at night. If the form asks for a date of birth twice, or forgets this family enrolled last term, that is where the enrolment goes — and you never find out it was nearly yours.

Programs is one of Sweepa’s three service modules. It shares a calendar, a customer record and a payout with Bookings and Competitions.

What it does

From the enquiry to the roll being marked

Terms, camps and clinics, with the registration families actually finish.

Terms, camps and clinics

A ten-week coaching term, a three-day school-holiday camp and a one-off clinic are all programs, with their own dates, capacity and price. The sessions sit on the same calendar as your court hire, so a camp cannot take hours you have already sold.

A registration parents finish

Multi-step signup with returning-customer and family selectors. A second child, or the same child next term, is a few taps rather than the entire form again — and confirmation emails go out automatically.

Trials before they commit

Let a family try a session before they buy ten weeks of them. Trials are part of the registration flow, not a phone call and an invoice you remember on Thursday.

Waitlists that fill the place

When a program is full, take the name. The waitlist is where your next intake comes from, and where Sunday night’s withdrawal gets replaced by Monday.

Sibling discounts, applied at checkout

Two children in the same program, or one family across two programs, get the sibling discount in the price they are quoted — not a refund a week later because a parent counted it up.

Attendance rosters, marked from the court

Coaches mark the roll on a phone, against the roster for the session in front of them. Working With Children checks are recorded with their expiry and Sweepa reminds you before one lapses — it records the number, it does not verify it against a state register.

Marking the roll and taking payment from a phone use the Sweepa admin app, an add-on on Academy and Squad, included on Captain and Club. The client app and your branded program pages are on every plan — see the features page.

One system

Coaching is where the rest of your venue comes from

The under-9s in your Tuesday clinic are next year’s junior division and the year after’s casual hire. In most venues none of those three know each other: the camp is in a registration tool, the league in competition software, the hire on a calendar at the desk, and the same family exists three times. So the camp gets booked onto a court that was already hired out, and nobody can say what this family is actually worth.

Sweepa’s three modules run on one customer record, one calendar and one Stripe payout. Bookings sells the hours your programs do not use and holds the ones they do, and Competitions puts the kids who graduate out of coaching into a league against the same family record. The whole platform is on the features page.

1

The camp takes the courts

Program sessions hold their slots on the same calendar, so Bookings cannot sell the hours your April camp is running in.

2

The family stays one family

A second child, a court hire on Sunday and a team entry in the winter comp all land on the same record and the same saved card.

3

They graduate into a comp

When the clinic is not enough any more, Competitions has a junior division waiting — and you already have the contact details and the card.

Pricing

What it costs

Sweepa is priced by module. Programs on its own is From $49/mo on the Academy plan, which suits a coaching business that does not also hire out courts. Every other plan includes all three modules, so there is no per-module maths.

On top of the subscription there is a 2.00% platform fee on what you take through the platform, registrations included. Prices in Australian dollars (AUD). Stripe’s own processing fees are separate, and the plan limits and add-ons are on the pricing page.

Every self-serve plan starts with a 30-day free trial. Card required, nothing charged until day 31.

Switching

Moving from something else

Terms have a natural seam in them, and that is where a change of system belongs. Our switching guide covers exporting your families and your upcoming schedule, importing them into Sweepa, and finishing the term you are in where it started, so parents are never asked to make a second account.

If you want us set against the alternatives, the comparison pages say what Sweepa does and what it does not do yet. Two worth reading: sports program registration parents actually finish and school holiday sports camps — plan, price, sell out. On what to charge: how to price coaching programs and camps.
