The Bookings module

Court and field booking software

Most venues are not short of demand. They are short of a way for somebody to see that Court 2 is free at seven on Thursday and pay for it before they change their mind — without ringing a desk that is closed, and without you finding out on Friday that two teams were sold the same hour.

Bookings is one of Sweepa’s three service modules. It shares a calendar, a customer record and a payout with Competitions and Programs.

What it does

Everything between an empty slot and a paid one

Not a generic appointment tool with courts typed into it.

Casual hire on a live calendar

Real-time availability across every court, field or facility you operate. What a customer sees on your public site is what your front desk sees in the admin — one calendar, not a website that catches up later.

Recurring blocks

The Tuesday-night regulars who take the same two courts for twelve weeks are a recurring block, not twelve bookings you re-key each term. The series holds its slots against everything else on the calendar.

Parties and open games

Birthday parties and open games — the drop-in sessions people join one at a time rather than booking a whole court — are booking types in their own right, with their own add-ons. Not a casual hire with an explanation in the notes field.

Peak and off-peak pricing rules

Price seven o’clock on a Thursday differently from eleven on a Tuesday, per court or field type, without keeping a rate sheet in your head. The customer sees the number before they pay, not after you invoice them.

Waitlists on the hours everyone wants

When the good slot has gone, take the name instead of losing the customer. Booking waitlists are built in, so the cancellation that lands at four has somewhere to go before it becomes an empty court at six.

Paid up front, into your own account

Card, Apple Pay, Afterpay and Zip through embedded Stripe, with payouts to each location’s own Stripe account rather than one we hold. Every booking raises a sequential, GST-compliant invoice.

Staff can work from their phones — today’s bookings, amendments, payment on the spot — using the Sweepa admin app, an add-on on Academy and Squad and included on Captain and Club. The client app and the embeddable booking widgets are on every plan; full detail on the features page.

One system

The same customer, three ways to spend money

The people who hire your courts are usually the same people entering your leagues and enrolling their kids in your holiday camps. In most venues those three transactions live in three systems, under three slightly different spellings of one name — which is where double-bookings come from.

Sweepa’s modules are not integrations with each other. They are views of the same venue: one customer record, one calendar, one Stripe payout. Competitions puts your fixtures on the courts Bookings is selling, and Programs puts your coaching terms and camps there too, so nothing is sold twice. The whole platform is on the features page.

1

They hire a court

A casual booking, a recurring block or a party — held, priced by your rules and paid for in one go, against a customer record that now exists.

2

They enter a team

Same person, same saved card. Competitions takes the entry, and the fixtures it generates land on the calendar that already knows which hours are sold.

3

They enrol a kid

Programs registers the child against the same family record, so the camp cannot be scheduled onto a court you have already hired out.

Pricing

What it costs

Sweepa is priced by module. Bookings on its own is From $49/mo on the Academy plan — the right shape if hire is the whole business. Every other plan includes all three modules, so a venue that also runs leagues or coaching has no per-module arithmetic to do.

On top of the subscription there is a 2.00% platform fee on what you take through the platform. Prices in Australian dollars (AUD). Stripe’s own processing fees are separate, and the plan limits, add-ons and annual rates are on the pricing page.

Every self-serve plan starts with a 30-day free trial. Card required, nothing charged until day 31.

Switching

Moving from something else

If you already take bookings somewhere — a shared calendar, a spreadsheet, or a system you have outgrown — changing over is a season’s job, not a weekend’s. Our switching guide covers what exports cleanly, what stays behind until it is settled, and how to run both until the current block of recurring bookings has finished.

If you would rather see us next to the alternatives first, the comparison pages say what Sweepa does and, just as plainly, what it does not do yet. Worth reading before either: the complete guide to court booking systems and court hire pricing, a practical guide for venues.
